Our Knoxville, TN office is immediately hiring a full-time Office Administrative Assistant.  This is a Monday-Friday position.

Job Requirements:

  • Professional verbal and written communication skills
  • Working knowledge of Microsoft Office software
  • Strong verbal, interpersonal, communication, and organizational skills
  • Must display kindness, fair judgment and tact

Essential Functions                                                                                                                     

The essential job duties shall include, but not limited to:

  • Answer incoming phone calls and respond to emails in a professional manner
  • Greet and coordinate office visitors
  • Responsible for monitoring and ordering office materials and supplies (office & field)
  • Procure Monthly Weather Reports and post in Sharepoint
  • Coordinate procurement of bid documents with Marketing and Operations and order copies as needed.
  • Create and distribute bid lists/invitations for multiple projects, follow up on bounced bid invitations and make bid calls, if required
  • Maintain and add new contacts in Outlook database for both Subcontractors/Suppliers as well as Mailer (also includes CMiC data, as applicable)
  • Set up business partners in CMiC

Miscellaneous Other Functions

  • Provide assistance to Safety Director and Marketing Manager, as needed
  • Assist with Tool Room/Trailer management, as needed
  • Manage office wide conference room schedule
  • Updating employee contact information on shared folder in Outlook
  • Point of contact for copier maintenance/repairs
  • An understanding of the construction industry is preferred, but not required
